Odoo setup

Your quotes are in one program, your invoices in another, your stock in a notebook. Odoo brings it all together in one place. We install it, we configure it for your trade, and we connect your AIOS to it: it writes your quotes, sends your invoices, chases unpaid amounts and records the ones from your suppliers.

Odoo is an ERP, meaning a business management system that brings your quotes, your invoices, your stock, your clients and your accounting together in a single tool. Where many companies stack three or four programs that do not talk to each other, Odoo keeps the whole on one base.

It is meant for companies that have outgrown the spreadsheet without having the budget of a six-figure ERP. A two-person workshop, a shop, a ten-employee engineering office: size matters less than the number of times you retype the same information.

Odoo is open-source software. You are not captive to any vendor, and your data belongs to you. One more reason to prefer it to a closed solution you will never be able to leave.

Verifactu requires your invoicing software to seal every invoice, chain it to the previous one and register it with the AEAT. It is not a recommendation: it is the condition for your software to remain legal.

The exact date depends on your tax regime, and the first one falls on 1 January 2027. That is the date Odoo points to as the moment from which Spanish companies must send their invoices through FACe and Verifactu.

Odoo complies, and access to FACe for invoicing public administrations is included at no extra cost. Where other platforms sell credits or charge per document, there is nothing to pay here for that service.

We check which date applies to you during the audit. It is one of the first things we look at, because it sets the project schedule.

Add up what you use today. In most of the small companies we work with, the list looks like this:

• an invoicing program, often paid monthly
• a quoting tool, sometimes a plain Word template
• a spreadsheet for stock, kept by a single person
• a client file that exists in three versions
• a folder of supplier invoices the accountant asks for every quarter

Odoo replaces the whole set. An accepted quote becomes an invoice without retyping anything. A paid invoice updates the cash position. A stock movement carries through to purchasing. This is not a question of comfort: every retyping is a chance to get it wrong, and nobody notices before the year-end close.

From €2,000 excl. VAT, excluding the Odoo license. The price is public, like those of our ten other services: you will find it on our pricing page before you even speak to us.

That amount covers the audit of your current setup, the installation, the configuration for your trade, the migration of your existing data and the training. It does not cover the Odoo license, which you pay directly to the vendor, nor hosting if you choose not to use their offer.

We publish the price before we know you because we would rather you knew what to expect. A quote that arrives after three meetings wastes your time, and ours too.

From 2 weeks for a standard setup. The sequence is always the same.

Audit. We look at how you run things today and at what costs you time. This stage is not a sales formality: it is what decides the configuration.

Installation. We install Odoo and set it up for your business. A metalworker and a retail shop do not have the same needs, and the default configuration suits nobody.

Migration. We bring your existing data across cleanly: clients, items, invoicing history.

Training. We train your team and stay reachable afterwards. A tool nobody knows how to use is worth nothing.

This is where our approach differs from other integrators.

Installing an Odoo means stepping into a company's processes. You see what gets typed twice, what falls between the quote and the invoice, what gets chased by hand every fortnight. Above all you see what the owner never looks at, for lack of time.

An ERP records what you have decided. It waits to be filled in. Your AIOS, on the other hand, works inside it: it writes, it sends, it records, it chases. You set what it is allowed to do, it does the work.

It builds your quotes. Not a template to fill in: it draws on your price list and on what you have already quoted for comparable jobs, then puts forward an offer consistent with the way you sell. You correct it or you approve it.

It issues and sends your invoices. The accepted quote becomes an invoice, goes out to the client, and the accounting entry follows.

It chases. Unpaid amounts at the right moment, quotes left unanswered before they go cold. Without you having to think about it.

It handles your supplier invoices. It collects them, records them in Odoo and books them. No more box of invoices the accountant asks for every quarter.

It reports back to you. Your result for the year updated every week, without you opening a spreadsheet. An alert when a margin slips on a job, while there is still time to act.

The AIOS does not replace Odoo: it works inside it. And it replaces nobody on your team: it does what nobody has time to do. It is a digital right hand that you direct. It accesses only what you authorise, and it sends nothing you have not decided to entrust to it. You start with one mission, and you add others whenever you want.

This service is billed from €390/month excl. VAT, plus €1,000 initial setup, and goes live from 2 weeks. You can start with Odoo alone and come to it later, once you know what you want to hand over first.

A property holding company whose AIOS invoices in Odoo on the 1st

About ten commercial units for rent, here in Valencia. Before, management lived in one person's head: a unit ended up with two tenants in the same month, a lease expired without anyone seeing it coming, and no deposit appeared in the accounts.

We installed Odoo and built on top of it the AIOS that runs it. On the 1st of each month it issues and sends the invoices with the tax treatment calculated from the property and the tenant. It checks that the contract's tax treatment has not been altered along the way. It refuses to generate a contract missing a mandatory field, and it prevents two contracts from overlapping on the same unit. Twenty-eight legal obligations arising after signature have become dated alerts.

What the person keeps: choosing the tenant, setting the rent, signing, drawing up the inventory of condition, deciding how much is withheld from a deposit, deciding whether an unpaid amount is pursued.

In August 2026 this setup prevented an invoice being sent to a tenant who had already left, because the system enforces the closing order. It is the kind of mistake you do not see go by and pay for anyway.

Two people, around €240k in revenue. Its owner used to discover his annual result once the financial year was closed.

We installed his Odoo and set up his AIOS, named Lea, as a financial copilot. Lea gives him his result in real time and helps him hold his target, week after week. In parallel, a new site took his visibility from 200 to 1,800 search impressions a month.

An apart-hotel whose AIOS invoices overnight

A premium residence of several short-stay apartments, here in Valencia. Its AIOS is called Lorenzo.

Lorenzo talks with travelers in French and Spanish, day and night. Behind the scenes it runs bookings, pricing, cleaning and invoicing. The first unit was born directly as a version 1, without going through a mockup, and we are rolling it out unit by unit. The stated target is to divide by five the time the operator spends on routine tasks.

A well-installed ERP does not bring you clients. It handles the ones you already have.

That is why most of our clients also entrust us with their online presence: the site itself, its search visibility, capturing incoming enquiries, and lately visibility inside AI assistants. The two halves hold each other up. What comes in through the site lands in Odoo, and what happens in Odoo tells us which enquiries are worth going after.

That part moves, and it is measured.

The metalwork shop went from 200 to 1,800 search impressions a month after its site was rebuilt, on the queries of its trade and its area.

A property investor in Valencia received an enquiry from a prospect who said he had got his name from ChatGPT. His traffic statistics also show a flow of visitors arriving from AI assistants. The channel is young and still modest, and it already produces contacts, something few companies can verify at home today.

We take those figures every week, for our clients and for ourselves, and the report says what has moved rather than describing again what already exists.

Odoo is not the answer to everything, and we would rather say so before invoicing you for a setup.

If you invoice five clients a month and your stock fits on a shelf, an ERP is out of proportion. A good invoicing program will cost you less and suit you better.

If your trade rests on specialised software you know inside out, a dental practice, an estate agency, a workshop with a particular production line, it is often better to keep that tool and automate around it, rather than move everything.

If you retype the same information three times a day, if nobody can state the real cash position, if the accountant asks for the same documents every quarter, then Odoo pays for itself quickly.

If in doubt, our diagnostic is free and commits you to nothing. It has happened more than once that we concluded a client did not need Odoo. That is an answer like any other.
