An AIOS that invoices in Odoo on the 1st of every month

A property holding company renting five commercial units and four homes in Valencia. Management lived in one person's head and in folders: the due dates, the deposits, the tax treatment specific to each lease.

Every month, invoicing, contracts and bank reconciliation went through that same person, whenever there was time, which often meant late.

Fit a rental portfolio into a system that does not make mistakes, without turning the owner into a data-entry clerk. Seven stages of the lease, from the offer through to the return of the deposit, without ever retyping a single piece of data.

We installed Odoo and built on top of it the AIOS that runs it. The principle fits in one sentence: the system prepares and checks; decisions and signatures stay with people.

Each lease now follows seven stages on a single record, opened at the offer and closed when the keys come back.

What goes out on its own. The monthly invoice for each lease, issued and sent on the 1st, with the tax treatment calculated from the property and the tenant. On 1 October 2026, the month's eight invoices went out in twenty-one seconds.

What the AIOS prepares and a person approves. The contracts and the tax treatment of each lease. It refuses to prepare a contract missing a mandatory field, and two leases in force on the same property cannot be recorded. For some of the leases, the rent review is logged as a dated task in the manager's Odoo, one month before it falls due.

What stays human. Choosing the tenant and setting the rent. Signing the lease and drawing up the inventory of condition. Deciding on a renewal and its terms. Assessing damage and settling what is withheld from the deposit. Deciding whether an unpaid amount is pursued, and when.

The signature is electronic, valid throughout the European Union.
