What an AI agent costs a small business, and what the price really covers

AI is sold to you on time saved: two days a month here, three hours a week there. The maths is right, but it says almost nothing. Here is our price, in full, and what it buys for our clients: checks, analyses and documents that, until recently, only a large company could afford.

Key points

  1. 1.Our prices are public: €1,000 excluding VAT to set up, then from €390 excluding VAT a month, a subscription that does not change when you hand it new tasks. The first year comes to at least €5,680 excluding VAT, plus your Claude subscription, the AI the AIOS works with ($20 to $200 a month depending on use).
  2. 2.Time saved is the wrong measure. For our clients, the AIOS reconciles every bank movement before the tax return, applies the right tax treatment to every lease, keeps a building project's budget up to date, and prepares a seller's market study within the day, on trial since October.
  3. 3.The AIOS prepares, a person approves. That is what makes its work reliable, and it is the time it asks of you.

Why AI never has a clear price

Ask what AI costs and you will get one of two answers. Either "next to nothing": online tools you use yourself, one question at a time. Or "it depends": a project, a specification, a quote that takes its time.

And when someone finally tells you what it brings, they count hours. That maths leaves out what matters most: what your business could not do, for lack of time or skills, and can do now.

Our prices are public, AIOS included (see our pricing). Here is the full price, then what it buys, with examples taken from our clients.

What an AIOS costs, line by line

An AIOS is the digital right hand we set up for our clients, what is often called an AI agent. It connects to your tools (email, phone, calendar, Odoo, social media) and takes on the tasks you give it. Its price fits on two lines, plus the subscription to the AI itself.

ItemPriceWhat it covers
Setup€1,000 excl. VAT, onceConnecting your tools, learning your rules, and two hours of support at delivery so you learn to run it. From two weeks.
Subscriptionfrom €390 excl. VAT a monthThe AIOS running day and night, its maintenance, your data hosted in Europe, and usage advice every month.
Your Claude subscription$20 to $200 a month, excluding taxesThe AI the AIOS works with, paid directly to its publisher, on the plan that matches your use and the AIOS's (Claude pricing).
First yearfrom €5,680 excl. VAT€1,000 + 12 × €390, Claude subscription not included
Over three yearsfrom €15,040 excl. VAT€1,000 + 36 × €390, Claude subscription not included

You start with one assignment, then add more, at the pace you choose. The subscription does not change: a new routine task, the AIOS learns it. Only a heavier change, such as connecting it to another application, is quoted separately for its setup. AI usage itself is not in our prices: it runs on your own Claude subscription, which you choose according to your use and your AIOS's. What it can take on is set out on the service page. Here is what it does, in practice, for our clients.

What it does for our clients

Time saved exists, but it is only the visible part. The rest comes down to four gains a small business could not afford before. We will look at them mostly at Arena Capital, in Valencia, where the same AIOS serves two lines of business: buying, renovating and selling homes, and managing the rental of nine properties, commercial premises and homes alike.

Higher quality: what goes out is right

On the rental side, the AIOS applies to each lease the tax treatment it calls for. It depends on both the property and the tenant: the same office is invoiced with or without withholding tax, depending on whether the tenant must apply it. The AIOS refuses to prepare a contract missing a mandatory detail, and two leases in force on the same property cannot be recorded.

On the buy-to-sell side, the AIOS records and checks invoices in Odoo, reconciles the bank and prepares the file for the accounting firm. For the third quarter of 2026, all 108 movements on the account were reconciled, each with its invoice or supporting document. Before the tax return, it also checks that every withholding lands in the right box.

Greater relevance: know before you decide

On its renovation projects, the budget has been kept in Odoo since September. Each line shows three figures that update themselves: planned, committed (confirmed orders) and actual (recorded invoices). Each month, the manager decides which phase gets paid; Odoo prepares the order to the subcontractor and tracks the retention. On the rental side, the AIOS logs a rent review as a dated task in the manager's Odoo, one month before it falls due.

Arena Capital is also trialling, since 14 October, an opportunity study for every owner who gets in touch to sell. The first one was ready on the day the request came in: ten pages on the local market (sale prices, rents, comparable properties), the value of the property vacant and let, what the lease in force imposes on the buyer, the owner's options and their timelines, the taxes and documents of the sale. It draws on more than sixty sources consulted that day, from prices recorded by notaries to that day's listings. It is a trial, submitted to the manager for review: the work a large agency network gives to an analyst, ready before the first meeting.

At Prometal, a metalwork company, LEA, its AIOS, reports the current year's result every week, instead of waiting for the year-end close (the full case).

More professional: big-company paperwork

On the rental side, contracts are signed electronically, from Odoo. On the building side, the AIOS prepared the subcontracting contracts, a VAT guide based on official sources, and a note explaining to each subcontractor how to invoice, sent out for electronic signature. Every document goes out in the company's own branding, reviewed before sending.

At UCO Marine Trade, which supplies marine lubricants in the ports of Peru, we are preparing an order flow in which the customer is kept informed at every step, from request to payment. The flow is being validated by the client: these are objectives, not results yet.

More scalable: one more task is not one more hire

This is where the price gets interesting: one more routine task does not change our subscription; only your Claude plan may go up if usage grows. On 1 October at 10 am, the month's eight rent invoices were generated in twenty-one seconds, then sent straight away, with no one involved. It is the only task that runs entirely on its own, because it calls for no decision.

At Arena Capital, tasks have been added one after another since the summer: rent invoicing, contracts, accounting, the project budget, the quarterly close, then the trial of studies for sellers. Each rests on the same data, in Odoo, and follows the same approval rule.

At a property inspection company, LEB, its AIOS, drafts around 90% of the reports (the full case). And at UCO Marine Trade, every order will follow the same 36 steps: the AIOS prepares most of it, and a person is left with six approvals, one message each.

What it asks of you: your oversight

In all these examples, the AIOS prepares and a person approves. At Arena Capital, apart from rent invoicing, no entry goes into Odoo without human approval, and nothing goes out to a third party without explicit agreement.

That is what makes the work reliable. The time to plan for is short: running an AIOS is like using an AI every day, and getting started takes less than a day. After that, you set its goals, its rules and its access, you review what goes out in your name, and you give it new tasks when you decide to. An AIOS no one runs does no more than software no one opens.

The maths to do before you sign

Start with the question that time saved hides: what does it cost you today when a withholding is missed on a tax return, a materials order has to be redone, or a customer's request waits for an answer? That is where an AIOS earns its value, far more than in your calendar.

We wrote it in late September: in a small business, the most expensive person is the owner, and they are often the one invoicing and chasing payments (details here).

Compare it with a hire, too: even a part-time assistant means a salary, employer contributions and the time it takes to recruit.

What I learned at Accenture and Capgemini

At Accenture and at Capgemini, I saw what large groups give themselves and what a small business could never afford: financial support that tracks the figures every week, marketing that publishes and measures, analysts who prepare every decision, checks before anything goes out. The volumes cannot be compared with a small business's. The quality expected can: a correct tax return, a solid study, a complete contract. That is what an AIOS now puts within its reach, at the same level of quality. What has changed is not the method. It is the price.

Five questions to ask before you sign

  1. Where is my data hosted, and who can access it?
  2. Who approves what goes out in my name?
  3. Is AI usage included in the price, or billed on top?
  4. What does a new task cost, and who sets it up?
  5. If I stop, what happens to my data and to what has been built?
