An AIOS that invoices in Odoo on the 1st of every month

The context

A property holding company renting commercial units in Valencia. Management lived in one person's head and in folders: the due dates, the deposits to be lodged, the tax treatment specific to each lease.

Three gaps followed, and they had already cost money. One unit ended up with two tenants overlapping in the same month. One lease reached its term without anyone seeing it coming. And no deposit appeared in the accounts, neither collected nor lodged.

The challenge

Fit a rental portfolio into a system that does not make mistakes, without turning the owner into a data-entry clerk. Seven stages of the lease, from the offer through to the return of the deposit, without ever retyping a single piece of data.

With one constraint Spanish law does not forgive: failing to lodge a deposit within the month is a serious offence, penalised from 600 to 3 000 €, plus a surcharge of 5 to 20 % depending on the delay.

What we did

We installed Odoo and built on top of it the AIOS that runs it. The principle fits in one sentence: the system prepares, checks and alerts; decisions and signatures stay with people.

Each lease now follows seven stages on a single record, opened at the offer and closed when the keys come back.

What the AIOS does on its own. It issues and sends the monthly invoice on the 1st, with the tax treatment calculated from the property and the tenant. It checks that the contract's tax treatment has not been altered in the meantime. It raises an alert at the right moment on the deposit, the term and the rent review. It refuses to generate a contract missing a mandatory field. It prevents two leases from overlapping on the same unit. It keeps a record of which clauses were signed, in which version, on which date.

What stays human. Choosing the tenant and setting the rent. Signing the lease and drawing up the inventory of condition. Deciding on a renewal and its terms. Assessing damage and settling what is withheld from the deposit. Deciding whether an unpaid amount is pursued, and when.

The contract itself is not drafted, it is assembled: every clause rests on a specific article of law, and anything without a legal basis is not written. The signature is electronic, valid throughout the European Union.

What it prevented, concretely

In August 2026, an office lease was showing as active until 30 September while the next tenant was moving in on the 1st. Without the closing order the system enforces, an invoice would have gone to someone who had already left.

This is not a textbook scenario. It is what used to happen.

What is still to be decided

Two organisational points, still being settled with the client: the exact route the deposit takes before being lodged with the Generalitat, which changes its accounting treatment, and who files that deposit within what internal deadline. It is the only step in the process that carries an administrative penalty.

We would rather raise them than assume them.

The results

On the 1st
